How to Create a Secure Email Template

To achieve security, recipients with unsecure email will see a templated message in their inbox that includes a link to “View Secure Message.” Clicking the link will take them to a secure server to view the protected information.

Templates will be created for you during your iCoreExchange set up. You can edit them to better meet your needs.

Create a Secure Provider Email Template

1. Select Settings.

2. Select Provider Mail Message from the left-menu.

3. Check Enable to activate this template.

4. Enter Custom Template Information in fields provided.

  • Provider Subject: HIPAA Compliant Message from “Provider Name”.
  • Provider From Address Name: Always leave blank. Message will be rejected if there is info in this field.
  • Provider Mail Header: Preset for you but, Customizable to meet your needs.
  • Provider Mail Footer: Preset for you but, Customizable to meet your needs.

5. Select Save.

6. Select Preview Provider Mail.

Create a Secure Patient Email Template

1. Select Settings.

2. Select Patient Mail Message from the left-menu.

3. Check the Enable to activate this template.

4. Enter Custom Template Information in fields provided.

  • Patient Subject: Secure Message from “Provider Name”.
  • Patient From Address Name: Always leave blank. Message will be rejected if there is info in this field.
  • Patient Mail Header: Preset for you but, Customizable to meet your needs.
  • Patient Mail Footer: Preset for you but, Customizable to meet your needs.

5. Select Save.

6. Select Preview Patient Mail.

Quick Tip:
Recipient’s with non-compliant email will see your Custom Template. Be sure to Preview your template and make changes as needed.
