Features Configurations

Practice admins can set up their iCorePay location by managing features in the Configurations tab. These features allow you to manage SMS, discounts, invoices, automated reminders, and items. Follow the steps below to understand and manage your features. 

*Note: Only admin users have access to Features. 

Step 1: Accessing Features 

  • Log into iCorePay using your admin account.
  • Select “Configurations”
  • Proceed to the “Features” tab on the configurations panel. 

Step 2: Understanding Features

SMS 

  • The SMS phone number displayed here is the number used to send payment links, reminders, and receipts via SMS from your office. 
  • Enable or disable SMS messaging for your location by choosing from the dropdown.
    • SMS messaging is available for merchants to send payment links, reminders, and receipts. 
  • Enable or disable Text2Pay by choosing from the dropdown.
    • Text2Pay allows patients with saved cards to reply “Pay” to a payment link SMS to complete payment using the last saved card on file. 

Discount

  • Enable or disable Pay Now Discount by choosing from the dropdown.
    • Pay Now Discount offers your customers a discount percentage of your choosing to encourage Pay Now payment methods. 
    • This applies to all invoices, however, you can remove the discount manually when creating or editing an invoice. 
  • Under Pay Now Discount Percentage add the discount percentage amount you wish to offer for your customers’ invoices.
    • Please keep in mind that the number in this field is the percentage that will be discounted from the total invoiced amount when using a Pay Now payment method. 

Invoice

  • Enable or disable Public Invoice Creation by choosing from the dropdown.
    • If your practice sends statements to a patient detailing an amount they owe, you can enable Public Invoice Creation to collect payments. Enable this feature and direct patients to the URL.
  • Public Invoice URL
    • By sharing this URL, patients can fill out their respective information, enter the amount they intend to pay and flow through the checkout process.
  • Email Receipt (For all invoices)
    • Choose whether or not to send receipts via email when a patient pays an invoice. 
  • Email Refunds (For all invoices)
    • Choose whether or not to send emails notifying a patient that the invoice has been refunded.
  • Unpaid Invoices Deleted After (For all invoices)
    • Unpaid invoices will auto-delete from iCorePay after the number of days entered here. (ex. If you type 90, all unpaid invoices after 90 days will be deleted.) 

Invoice Emails

  1. Enable or disable automatic receipts for payments
  2. Enable or disable automatic refund emails

Automated Reminders

  • Enable or disable SMS reminders by choosing from the dropdown.
    • These are scheduled reminders sent via SMS to remind the patient to pay their invoice.
  • Enable or disable email reminders by choosing from the dropdown.
    • These are scheduled reminders sent via email to remind the patient to pay their invoice.
  • Enable or disable payment reminders from being scheduled as soon as the QR code is scanned.
    • If enabled, scheduled payment reminders will be sent via email and/or SMS as soon as the patient scans the QR code. 

Items

  • Enable or disable Item Friendly Name by choosing from the dropdown.
    • When uploading items to your inventory, you have the option to choose a friendly name that will be visible to your patients in their invoices. 
  • Enable or disable Hidden Items
    • When uploading items to your inventory, you also have the option to hide the item’s name from showing on the patient’s invoice. 

Transactions

  1. Transaction close time sets the close time for your practice
  2. Enter an email address to receive an email at transaction close with all transactions from the previous 24h

Step 3: Saving Changes

  • After you are done managing your features be sure to save your changes by clicking “Save Changes” located at the bottom right of the features page.
  • A message will appear at the top displaying “Location Updated” to confirm that your changes were saved.
